Purpose of the Role

The purpose of this position is to ensure the efficient and friendly management of all reception functions, including managing the switchboard, assisting internal departments, and providing outstanding service to both staff and visitors. The role of a Receptionist pivotal in shaping first impressions and promoting customer satisfaction across the business.

Key Responsibilities

  • Operate the switchboard and manage general reception duties
  • Answer calls, transfer to relevant departments, and take messages accurately
  • Provide administrative and secretarial support where needed
  • Maintain inventory and distribution of office stationery
  • Log and track emailed transfers and stock orders for branches
  • Keep all correspondence (emails, faxes, quotes) well-organised and filed
  • Manage diesel cards and staff coffee coin distribution
  • Monitor and report on staff schedules (lunch, leave, sick leave)
  • Maintain company notice boards
  • Resolve cash discount queries and check price changes and credit slips
  • File shop account slips, stock adjustments, and staff memos
  • Print and distribute A4 shelf talkers
  • Participate in stock takes and assist with related admin
  • Carry out any additional admin tasks as delegated by management

 



 

 

Minimum Requirements

  • Matric or equivalent (or 3 completed Intercept courses equaling 120 credits)
  • Completion of Brights Induction (Service Excellence)
  • Minimum 2 years of experience in a similar front office/admin role
  • Excellent telephone etiquette and customer service skills
  • Strong organisational, planning, and time management skills
  • Proficient in MS Office and general computer use
  • High attention to detail and professionalism
  • Ability to remain calm under pressure and problem-solve effectively
  • Strong communication skills (both verbal and written)
  • Willingness to take ownership of tasks and maintain a neat, professional appearance
